Decide what the recipient needs to receive

If the recipient needs to edit a spreadsheet, attach the intended file. If you are answering one paragraph, quoting that passage may be clearer than attaching the entire source email. Appending selected emails is another distinct operation. Before composing, decide whether you are sending a document, a quotation for context, or original correspondence that should remain recognizable as correspondence.

Review the exact file and the included material

A recent file with a familiar name may still be an older draft. Inspect the file selection and the resulting attachment before sending. When quoting text, add your response outside the quotation so readers can distinguish the original wording from your answer. If an appended message contains a longer conversation, review it rather than assuming only the visible sentence is being included.

Prepare a safe handoff draft

Use an expendable text document and a short copied passage from your own sample message. Attach the document, paste the passage as a quotation, and write one sentence explaining the requested next action. Inspect the draft for three clear parts: what you said, what you quoted, and what you attached. Learn this structure before using it for invoices, records or another person’s private email.
