Preview a file or open it in an editor?
Preview a file to identify it quickly. Open its application when you need editing tools or a more detailed inspection.

Start with the question you need to answer
A folder of similar files may only require identifying which one contains a particular chart or page. Opening every file in an editor can create unnecessary windows.
Apple documents Quick Look for previewing a selected item, and Preview provides its own document navigation. Choose the level of inspection that answers your question. Preview support depends on the file type and installed software; a promising filename alone does not tell you whether its contents can be shown.
Compare a few safe samples
- Choose three images or PDFs that are safe to display. In Finder, identify the one containing a chosen visual detail without moving or renaming the files.
- If a preview answers the question, return to the folder. If you need page navigation or editing tools, open the selected file intentionally. This makes opening a full application a deliberate next step, rather than a reflex that leaves several nearly identical documents open at once.
Review the full deliverable before sending it
A thumbnail or readable first page does not prove the whole file is complete, intact or ready to share. Inspect the relevant pages and use the application’s appropriate checks for a final deliverable.
Encrypted, unsupported or unusual formats may not preview meaningfully. A quick preview helps identify candidates; it does not replace quality assurance. A shortcut reference can remind you of inspection commands, but the content still needs to be checked in the right tool.
